Designate a Single Point of Entry: Funnel all arriving parents and students through one primary entrance. This makes it significantly easier to monitor who is coming in and out.
Sign-In Stations: Require all visitors to sign in upon arrival. While you may not run full background checks during a massive open house, maintaining a visitor log helps establish accountability and provides valuable documentation if an incident occurs.
Keep Secondary Doors Locked: Ensure all side and rear exterior doors remain securely locked from the outside. Post signs directing visitors to the main entrance.

2. Deploy Highly Visible Security Personnel

The most effective way to deter a potential threat or de-escalate a disruptive situation is a visible, professional security presence. Teachers and administrators should be focused on greeting families, not managing security concerns.

Hire Off-Duty Police Officers: For large-scale events, utilizing active, off-duty law enforcement officers provides the highest level of security. Officers have advanced threat assessment training and the legal authority to respond immediately if an issue arises.
Station Guards at Key Choke Points: Place uniformed security personnel at the main entrance, in major hallways, and near the cafeteria or gym where crowds gather.
Texas HB3 Compliance: If your Texas school is utilizing armed security to comply with House Bill 3, ensure those officers are scheduled and highly visible during after-hours events.

3. Secure the Perimeter and parking Lots

Security doesn’t begin at the front door; it begins at the edge of your property line. High-attendance events often create congested parking areas, which can result in accidents, vehicle break-ins, or altercations.

Traffic Control: Utilize security personnel to direct traffic, manage crosswalks, and prevent illegal parking in fire lanes.

4. Establish Event-Specific Emergency Protocols

Your standard emergency operations plan (EOP) might not perfectly translate to an after-hours event where the building is filled with parents and guests who are unfamiliar with emergency procedures.

Brief Your Staff: Before the doors open, hold a quick 10-minute briefing with all staff and security personnel. Review the protocols for medical emergencies, missing children, and active threats.
Communication Channels: Ensure administrators, front desk staff, and security officers have dedicated, two-way radios. Relying on cell phones during a crowded event can lead to missed messages or delayed response times due to network congestion.
Clear PA Announcements: Test your public address system prior to the event to ensure emergency announcements can be heard clearly over the noise of a large crowd.
